This guide focuses on the user import file for SFTP integration.

📃 User import example files

📄 File type

We will import and update your employees from the file you will provide us with. Please note that the file type must be .xslx

✅ Mandatory columns

  • Email

  • Name

  • Last_name

  • Manager_email

⚠️ If one of the mandatory columns is empty the row will not be imported.

📬 User’s with no email

If some of your employees do not have an email address, they will be able to connect using a number. Fill in this personnel number via the username column.

✉️ Change user’s email

If you want to change the employee's email address, it is possible to do so from an excel file import (remember to base yourself on the upstream export file).

👨‍💼 Managers

Employees appearing in the manager_email column must also have a dedicated line in the same file. The fact of informing them in manager_email will not be enough to create their Javelo account. A person cannot be their own manager.

👥 Groups

Import user with their assigned groups. For that, you need to add a column a group and fill the user's corresponding cell with the group_code that can be found in the \"group\" page. The first group must have \"group_code\" as a column header, the second \"group_code_2\", the third \"group_code_3\", etc. Empty cells will be ignored.

💡 Groups need to be created before a user can be assigned to them.

📆 Dates

The dates must be in DD-MM-YYYY format.

📞 Phone numbers

Telephone numbers must be in text format and not in digits for the starting 0 (s) to be taken into account.

Enter phone numbers with 0033 and not +33

🇫🇷 Languages

The language field must have a specific format: fill in fr for French, en for English, es for Spanish, it for Italian.

❌ Don’ts

  • Do not use commas or hyperlinks (in job titles for example)

  • Do not use spaces in email addresses.

  • Make sure you have removed duplicates before import

ℹ️ Infos

In the export file, a “Javelo unique identifier” column contains the unique identifiers of your users. This is automatically assigned to your users. It cannot be changed. When you import a new user, he will not have an identifier.
