What is a group on Javelo?
It is a group of employees facilitating the use of the platform and allowing the realization of several actions:
Launch campaigns in a massive and limited manner on a targeted population.
Massively assign skills to a group of people.
Reporting: Refine campaign reports on specific groups.
Assign admin roles to targeted populations.
How do I create groups?
The creation of groups is one of the first actions to be carried out on Javelo. It will allow you to divide your population and be able to target your actions. However, in order to perform this action, you will need to have admin rights.
Just go to Settings > Companies and click on Groups.
Click New Group in the top right.
The next step will be to give your group a name and add your collaborators to it. Here, you have two choices:
You can add your collaborators to groups by clicking on the three dots and selecting Manage Users.
You can also massively assign your employees to groups by synchronizing (you will find the protocol to follow in this article)
It is important to know that employees will be able to belong to several groups and will see the names of these groups on their profile pages. They will also have access to collaborators who are part of the same groups.
In concrete terms, what will these groups be used for?
The launch of the campaign:
When setting up the campaign (in the second step), you will be asked to choose the employees concerned and on whom you want to launch interviews.
Groups will be used to launch campaigns on specific populations on a massive scale.
Example: Launch a campaign across your entire manager population if you've created a "Managers" group
Skills:
In the interview, it is possible to evaluate the skills assigned to groups of employees. To do this, simply create the skill in the Development tab > Skills and click on New Skills in the top right.
Enter the necessary information such as the title and employee criteria to self-assess.
To assign a Skill to a group, select Specific Collaborators and click + Assign to choose a group.
Then, click Create Skills.
If the skills assessment option was enabled when creating the questionnaire used in the campaign launch, all members of the group will be able to assess this skill during the interview.
Reporting and refining campaign reports:
Thanks to the Export to CSV option on the tracking page of each campaign, you will be able to extract data and reprocess it by refining the results on the different groups.
The View Report option on the tracking page, on the other hand, will allow you to view and filter the responses on your different groups before the final export.
Filtering by employee
Within a group, you can filter your searches according to the employees who belong to that group. To do this, go in tab Settings > Groups, click on the three dots and select Manage.
Then, start typing the first letter of the employee's name in the search.
Assigning the Group Admin role
As an HR manager, you will be able to assign your employees the right to group admin. This will allow them to carry out additional actions such as the administrative management of the group (adding and removing employees), creating questionnaires for the group, launching and monitoring campaigns on it. They will also have the possibility to edit the profiles of the users of their group. Be careful, it is important to know that this role will give them visibility on all the interviews launched on the employees belonging to this group. You will find a description of the different ones and their impacts in this article.
Tips for creating groups:
With the digitization of the frames/construction of the questionnaires, the creation and constitution of groups should be one of the first actions to be carried out on Javelo
Be vigilant and check groups regularly to ensure they are up to date when launching campaigns
Examples of how to use the Groups feature:
Creation of groups according to the company's departments (e.g. Marketing, Sales, Operations, etc.)
Creation of groups according to employee status (e.g. Workers, employees, managers)
Creation of groups according to the hierarchical position in the organization (e.g. Managers, Directors, Founders)
Creation of groups according to the professions (e.g. Advisors, Coaches, etc.)
Creation of subgroups (e.g. create a group for payroll officers in the HR department. Please note that the subgroup is not displayed as such. It will therefore not be possible to distinguish a subgroup from a group.)
Creation of groups dedicated to certain projects (e.g. Cross-functional project between several groups and launch of a survey and/or an individual interview on the people involved in the project)
Creation of groups according to the company's subsidiaries (e.g. French subsidiary, Belgian subsidiary, etc.)
Skills-based creation
Create and add members to a group
Creating a group can be done from the Settings > Company > Groups menu, clicking on New groups.
Give it a name and click Create a new group.
Then you can form your group adding members, click on the three dots at the end of the corresponding line to select Manage members.
And in the new menu on the right, click Add users to group.
A user can belong to various group in Javelo.
How to add users to groups
Globally
To assign a group of employees on a massive scale, you will need to create it in Javelo.
To do this, go to the Users tab, then click on Groups in the top right.
Click New Group on the right.
Give the group a name and click Create Group. A group code will be created automatically (in grey next to the group name).
This code will allow you to massively attach people to a group via an excel import.
Massively
To access the mass creation of groups, please go to the User tab.
You will then be able to massively export your Javelo database by clicking on Export users. You will have to modify this file to import it back on the platform. This allows you to massively add employees to the right groups.
In the column entitled "group_code" in the file, fill in, for all employees, the codes of the groups to which they will belong.
In the example below, we can see that the employee is attached to two groups on Javelo: the MANAGEMENT group and the HUMAN RESOURCES group. So we found the codes of these groups on Javelo and completed two columns on the import file. Finally, we filled in the codes for these groups in the two columns.
You can then save this file and import it to Javelo. This last step is explained at the end of this article.
To learn more about the notion of a group and in particular its impacts, see this article.
Remove a user
It is possible to remove a user from a group from Settings > Company > Groups, click on the three dots at the end of corresponding line and select Manage members.
Then, click the three dots for the corresponding user and select Remove from group.
If you are not a Javelo administrator nor a manager of this group, you will need to wait for one of these persons' validation.
