Preparing Javelo for External User Source Integration

This guide is for customers already using Javelo who have users set up in the app and want to connect Javelo to an external user source.


Follow these steps to connect Javelo with an external user source and ensure a seamless synchronization process.

1. Verify your external source setup

Javelo can synchronize user data, including names, emails, managers, and custom fields. For detailed information on what is synchronized, refer to Technical Guides - Users synchronisation with Javelo .

  • Data accuracy: Ensure the data in your external source is up-to-date. Inaccurate data may replace or delete existing custom fields or manager links in Javelo.

  • Custom fields: If you need to synchronize additional fields beyond the default options, contact your customer support representative to evaluate feasibility.

2. Update Javelo users with a common identifier

Javelo matches users from the external source based on either email or employee number (available only for ADP and custom SCIM integrations).

To ensure accurate matching:

  • Use work emails: Employees should have a valid work email address in Javelo. Avoid personal email addresses, as they can cause conflicts.

  • Include employee numbers: If using employee numbers (ADP/custom SCIM only), ensure these are added to Javelo.

You can update users by exporting their data, making changes, and re-importing the updated file.

💡 When adding email addresses or employee numbers, enable the "Allow identifier changes" option during import.

3. Ensure identifier consistency across both platforms

After updating your users, confirm that identifiers match between Javelo and the external source. Supported synchronizable identifiers are:

  • Email

  • Employee number (ADP/custom SCIM only)

  • Unknown identifiers will result in new account creation.

  • Duplicate identifiers in the external source can cause synchronization errors.

4. Configure your synchronization settings

Refer to the Technical Guides - Users synchronisation with Javelo for specific details on configuring your integration.

5. Activate synchronization

Once all preparations are complete, activate the synchronization. The initial sync will run immediately, followed by periodic updates.

💡 The time required for synchronization depends on the size of your user base. Larger user bases may take longer.
