Different stages of a review

A review on Javelo has 3 stages: preparation, face to face and validation.

On each review, you have a gauge that indicates on which stage you are.

Preparation

During the preparation phase, the employee and his/her manager works on the review questionnaire on his/her own. If necessary, it is possible to click on the Save button to keep a draft of the answers and come back later.

When choosing to Share your answers, the other participant will be able to access them.

When both review participants will have shared their answers, you will reach the second stage: the face to face.

⚠️ The evaluator and the evaluator can choose not to carry out the preparation phase by clicking on "Do not do the preparation phase" :

💡️ In this context, we recommend that you specify in your campaign message not to carry out the preparation step.

Face to face

The face to face will take place on the grounds of both participants' preparation answers. The manager will have the possibility to take notes and create a report out of it.

⚠️ As a reviewer, you can skip the preparation phase and arrive directly to the face-to-face, thanks to the three-little-dots menu on each interview line.

Then, you can directly Start the interview through the following screens.

Validation

Just like on a paper review process, it is crucial to validate the review report for you to agree on what had been written down on Javelo.

Prepare your interview

To begin the preparation of your interview, go to the Reviews tab or to your homepage, then click on the Start preparing button of the review you want to prepare.

On each review, you have a gauge that indicates on which stage you are (preparation, face-to-face or validation). To know more about the different stages of a review, click here.

The employee and his/her manager can prepare the interview on their own, before the face-to-face. The preparation answers will be the starting point for the interview.

During the preparation, you can save your answers whenever you want and go back to the menu.

Should you have to review past objectives during the interview, the employee can indicate his/her self-assessment on each of his/her objectives mentioning the new progress and status of the objective, as well as leave a comment on it if he/she wants to. The manager can also indicate his/her assessment of the objectives achievement before the face-to-face.

If the definition of future objectives is considered in the review, employee and manager can create a draft for these objectives. Those options will then be examined, eventually modified and finally validated during the face-to-face.

1) Click on Suggest a draft objective

2) Create your draft objective

  • Indicate a clear title

  • Define the target and period

    • Qualitative objective : use the % scale or 0/1#

    • Quantitative objective: define the target value and its unit (€, $, #)

  • Select a team to link the objective with (optional)

Once your preparation is done, click on Confirm and finish. If you chose to share your answers, the other interlocutor will be able to access it before the face-to-face.

Conclude and validate

At the end of the Interview, the employee and the manager can each formulate their conclusion of the exchange before definitively validating.

There is no specific order for validation. The manager or employee can validate at the desired time.

Both participants must validate the Evaluation on their interface.

Careful: Once validated, the answers are no longer editable. Only the HR admin will be able to retake the Interview during the exchange phase.

It is possible to read over the interview report by clicking on Read the report below the tick boxes:

Writing an interview report

Click on "start exchange". You have two options:

Your employee has prepared

Start the exchange as soon as you want

Your employee has not prepared

-Follow up with your employee to prepare.

-Start the interview without your colleague's preparation.

You enter the response form.

A new box will appear to write the report of your exchange, question by question.

The responses prepared by the participants can be consulted as a basis for the report.


If you hadn't shared your answers, you will be able to read them in a new tab and the "copy and edit this preparation in the report" button will allow you to use them.

Click on "confirm and finish" at the end of the questionnaire to finalize the report.

How to save your review as a PDF file?

Individually

1) Enter the review you want to save as PDF, clicking on its title.

2) In the top right corner, click on "Download as PDF"

Massively (If you are a HR administrator)

1) Go to "Campaigns" tab, "Campaigns" sub-tab
2) Click on the campaigns title in the insert "Launched campaigns"
3) Click on "Download reviews as PDF" thanks to the 3 dots at the right side
